Purpose

  • The purpose of this role is to provide a high level personal assistant support function to the Retail Operations Director (ROD).
  • This role goes beyond traditional administrative tasks and offers an opportunity to work closely with the leadership team and external stakeholders.

Requirements
  • A relevant tertiary qualification
  • Minimum of 3 years as a personal assistant to senior executives essential.
Skills & Competencies
  • Fully computer literate on MS Office suite.
  • SAP experience will be advantageous.
  • Excellent written and verbal communication skills.
  • Accuracy and attention to detail.
  • Good Interpersonal, problem solving and organisational skills.
  • Ability to work independently without any supervision.
  • Supervisory and people management skills.
  • Deadline orientated.
  • Able to respond to incoming correspondence on behalf of the Divisional ROD.
  • Flexible in terms of working hours and travel.
  • Positive attitude and team player.
Responsibilities
  • Assist in compiling management reports and preparing meeting minutes and follow-up actions.
  • Assist with preparation of presentations.
  • Draft correspondence, filing and minute taking.
  • Collect information for Central Office (CO) and distribute info as received from CO to relevant retailers.
  • Collect information for suppliers on incentive schemes.
  • Manage ROD’s calendar and schedules meetings.
  • Prioritise appointments and travel arrangements.
  • Act as liaison between the Divisional ROD and all internal and external stakeholders.
  • Handle sensitive information with discretion and maintain strict confidentiality regarding all matters.
  • Support the Divisional ROD with special projects, initiatives, and research assignments as needed, demonstrating flexibility and adaptability to changing priorities.
  • Coordinate meetings, conferences and events including agenda preparation, venue booking, technical support, and logistics management.
  • Build and maintain a strong business relationship with internal and external stakeholders.
  • Manage information flow in a timely and accurate manner.
  • Management of company pool vehicles and bookings.
  • Effectively manage and lead a direct report.
  • Carrying out any reasonable tasks requested by management (ad hoc duties).
