EMS Operations Assistant (Fleet)

Purpose

  • The EMS Operations Assist will assist the EMS Operations Team in the smooth running of the administration and coordination around the Company Fleet, regulatory compliance and administration.
  • The Operations Assistant is required to proactively coordinate activities and tasks related to the above-mentioned areas to ensure seamless functioning of company vehicles and minimal vehicle down time.

Requirements
  • Matric/National Senior Certificate or equivalent qualification.
  • Experience working with fleet in an industry of a similar nature to EMS (security, armed response, 24-hour operations).
  • Driver's licence.

  • Good interpersonal skills.
  • Fluent in English & Afrikaans will be advantageous.

  • PC literate โ€“ intermediate to advanced knowledge of Word, Excel and PowerPoint.
  • In-depth knowledge regarding the fundamental internal procedures will be advantageous.
Responsibilities

Company Fleet

  • Receive vehicle checklist and refer to get reported faults and damages actioned.
  • Maintain vehicle log sheet to gather data, both on web-based systems and excel.
  • Proactive planning for maintenance on vehicles according to guidelines.
  • Capture and assign submitted reports.
  • Request quotations and compile invoices from repairs.
  • Coordinate repairs and part ordering.
  • Facilitate completion of documentation related to insurance claims.
  • Vehicle licensing and roadworthy certification.
  • Vehicle registrations with local Department of Health (DOH).
  • DOH inspections โ€“ arranging inspections and making sure vehicles / stations are ready.
  • Fuel capturing (yard bowser and fleet cards).
  • Compile weekly odometer list.
  • Capture expenses related to company fleet.

Administration

  • Ensure staff files are kept current with regards to PrDP, driverโ€™s license, IDโ€™s and medical malpractice cards.
  • Driver IDs, licenses, and PrDPs capturing on SharePoint for monitoring expiry dates.
  • Facilitate annual registration of personnel with the Health Professions Council of South Africa (HPCSA)
  • Facilitate registration of personnel with medical practice insurer.
  • Assist with ordering uniforms and maintain lists of equipment issued to staff.
