Purpose
- SAIMI seeks to appoint an experienced PR & Marketing Administrator to oversee the public relations and marketing portfolio, including coordination of SAIMI online presence, i.e. website and social media; coordination, promotion and facilitation of the Maritime Awareness and Outreach Programme; including liaison with marketing and advertising agency and relevant stakeholders.
- The positions report to the Operations Director.
Requirements
- Diploma in public relations management, journalism/media, marketing, or related field.
- Additional qualification will be an advantage.
- 2 to 5 years’ experience in public relations and/or marketing management.
- Experience in content development and publishing in digital and social media an advantage.
- Insight into maritime sector would be an advantage.
- After-hours work and local travel may be required.

- Good understanding and awareness of target markets and marketing methods and vision to drive and implement.
- Strong marketing and PR skills and knowledge of relevant publications.
- In depth knowledge of website technology, copy writing and audio-visual processes.
- Good grasp of financial implications and adherence to budgets.
- Ability to conduct marketing research.
- Knowledge of industry, relevant publications, and good administrative skills.
- Competent in social media management

Responsibilities
Communications and Public Relations:
- Develop the public relations and media plan.
- Compiling information to be included in the annual SAIMI reports and brochures.
- Coordinate publication of newsletters.
- Ensure a central, coordinated approach to media liaison and act as key SAIMI media contact.
- Provide relevant information for press releases and distribution to relevant media.
- Liaising with advertising and PR agency and other service providers.
- Coordinate traffic and production of SAIMI marketing materials, advertising, corporate gifts etc.
- Develop, publish, and coordinate SAIMI online presence, including websites and social media platforms.
- Promote SAIMI and stakeholders’ events and opportunities.
- Coordinate communications with various stakeholders via electronic and digital platforms.
Branding and Marketing:
- Coordinate the development and implementation of the SAIMI brand strategy and corporate identity.
- To coordinate and assist in developing the annual marketing plan for SAIMI and its individual units and overseeing its implementation.
- To conduct marketing research and capture relevant marketing data on a database.
- To provide consultancy services on media strategies and marketing material such as layout and design, editing, costing and production and distribution procedures.
- To coordinate SAIMI’s marketing campaigns.
- To source, order, and traffic the production of all branding, marketing, and communication material for the institution.
- Provide relevant information to be advertised on the website.
- To coordinate and process all supplier payments for advertising and branding material on time.
- To ensure that all advertisements, branding, and marketing materials adhere to SAIMI’s corporate identity and brand specifications.
Events and Project Management:
- Develop project plans for public relations, marketing, and events programmes.
- Manage service providers appointed for events.
- Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Participate in the development of project plans and monitoring, reviewing, and evaluating progress thereof.

- Overseeing daily implementation of day-to-day operations of the project including needs assessment and setting goals and objectives.
- Managing and coordinating all the administrative duties of the project including liaising with relevant stakeholders regarding buy-in, project status and milestones.
- Coordinating and attending meetings including establishing and maintaining internal and external contacts as necessary.
- Preparing and maintaining all related documentation and reports related to the project and managing provision of feedback and reports to stakeholders.
- Acting as a resource person by performing research, analyzing information, providing documentation, and preparing reports for stakeholders.
- Verifies and analyses the accuracy of all data and information used or generated by project; resolves any discrepancies or problems.
- Documenting and following up on important actions and decisions from meetings.
- Event management using SAIMI’s electronic stakeholder and communications platform.
Information Management:
- Coordinate the usage and maintenance of SAIMI’s electronic stakeholder and communications platform.
- Maintain current and relevant information on the status of tasks on the project plan.
- Prepare any narrative reports necessary, for approval by the Programme Managers to internal or external stakeholders.
- Create and maintain a library of project materials.
Financial Management:
- Responsible for maintaining budget within areas of responsibilities e.g. monitor and control expenditure on stationery, travel/accommodation, general expenses, events / functions.
- Monitor expenditure and progress to ensure that targets are met.
- Assist with preparing and monitoring Programme budget.
- Liaise with Finance to ensure that the travel and subsistence component is completed in compliance with the University’s financial processes and procedures.
- Liaise with Finance to ensure that payments & reimbursements are made.
- Liaise with the stakeholders to gather information and prepare the periodic financial reports for approval.
Secretarial and Administrative Support:
- Dealing with programme inquiries and referring to correct person as appropriate.
- Organizes and coordinates meetings, workshops, conferences, and other special events, as required.
