Overview

An opportunity has arisen for an Executive Personal Assistant responsible for keeping official corporation records and execute administrative policies determined by or in conjunction with other officials. Manage executive's calendar and independently schedules appointments. Screen incoming calls and correspondence and responds independently when possible. Arrange events or conferences by arranging for facilities and caterer, issuing information or invitations, coordinate speakers and controlling event budget. Direct preparation of records such as agenda, notices, minutes and resolutions for corporate meetings. Arrange complex and detailed travel plans and itineraries, compiles documents for travel-related meetings and accompanies supervisor when requested. Responsibilities

• Administrative management and general day-to-day running of the office • A proven ability to ensure confidentiality of correspondence and information is important • Drafting correspondence, reports and presentations, as needed • Organising and co-ordinating all, management and general company meetings and ensuring that all relevant documentation is received and delivered timeously • Assist KAP secretarial and Unitrans Legal • Agreements and resolutions • Efficient and accurate electronic filing system • Purchase all consumables for the office • Scheduling of appointments, booking of venues and facilitation of catering requirements for meetings • Handling and/or editing all correspondence (emails, faxes, telephone calls, write ups, agreements, etc) in a professional and efficient manner with appropriate follow up where necessary • Preparation and distribution of agendas, documents, briefing papers, reports and management packs • Reservation of domestic and international travel arrangements and liaison with representatives of the travel industry on behalf of the company

Requirements

• NQF level 4/Office Management Diploma • Up to 4 years
