Sanlam Events Assistant: Client & Intermediary Engagement: (PG 6/7) Bellville, Cape Town

Purpose

  • This is a support role reporting directly through to the Events Manager: Channel and Segment Marketing.
  • This role is responsible to assist all staff in various administrative tasks relating to function/events co-ordination, incentive programs and general office duties.

Requirements

  • Grade 12
  • Administration working experience
  • Qualification in Event Management- National Diploma: Events Management

Responsibilities

Office administration:

  • Assist staff with printing, filing, record keeping, collation of materials
  • Ad-hoc office administration duties

Budgets:

  • Assist with the population of the budget summaries into a spreadsheet
  • Follow-ups of invoices
  • Assist with the loading of payments and journals onto E2 Financials for payment (events and suppliers)
  • Assist with accounts reconciliations
  • Receive and collate quotes from suppliers/venues

Events/Functions:

  • Assist the Co-ordinator with the planning and managing of events and functions in terms of;
  • Create FORM STACK registration forms, load and send; confirmation emails
  • Resolve selected client/participant queries, problems and requests
  • Assist in venue sourcing, site visits and comparison lists 
  • Sourcing and liaison with suppliers/service providers
  • Sourcing gifts and accessories 
  • Make up certificates/framing 
  • Make up name tags/folders/stationary
  • Assist on site with function/events (i.e.: registration, setting up, guest relations/requests etc)
  • Co-ordinate transport~ book transport services, complete travel statements
  • Table layout schedules
  • Courier/post certificates/awards/gifts to recipients after events/conferences if they could not self-transport.  
  • Assist with post event management in terms of returning equipment, materials etc to clients/department 
  • Post event feedback – Creation of feedback forms for completion by delegates attending the conferencing.
  • Collection and compiling thereof.
  • Once all the feedback has been accumulated and compiled on one document it gets forwarded to the client.

Additional Information
