Requirements

  • Secretarial qualifications equal to a 3 year post-matric
  • 10 years executive PA experience in a multinational environment
  • Experience of supporting more than one manager

Skills & Competencies

  • Flexible attitude and approach to work in terms of content of role and potential long working hours
  • Excellent communication skills, both verbally and written, with the ability to communicate across all levels within the business as well as with external clients and customers, across different countries
  • Ability to work in a fast moving environment with a proven ability to work under pressure and to tight deadlines
  • Results focused with attention to detail
  • Excellent PC skills including Word, Powerpoint, Excel and Email

Responsibilities

  • General secretarial duties including multiple diary, email and calendar management to ensure smooth day to day running of the supported executives
  • Extensive travel arrangements
  • Organising, co-ordinating and planning meetings/conferences
  • Preparation of presentation decks if required
  • Preparation of reporting from Excel where required
  • Signatures for contracts and expat documentation
  • Budget monitoring & PO management
  • Management of weekly priority items and minutes of meetings
  • Interaction with Vice Presidents/ Directors
  • Handling of all incoming mail – action and distribution as appropriate
  • General correspondence
  • Ad hoc project management
  • Creation and distribution of all Long Service awards
