Purpose

  • RCL FOODS is seeking a Customer Service Planner to join our Animal Feed Business Unit that is falls part of the Sugar & Milling Division.
  • The role will be based in Rustenburg and report to the General Manager.
  • RCL FOODS is looking for an individual that works well under pressure, organized and customer focused.
  • RCL FOODS entrusts the Customer Service Planner to ensure that production and delivery orders are planned to ensure optimal feed mill and fleet operation and the correct feed is delivered at the right time to maximise Customer Service.

Requirements
  • 3 year Diploma or Degree preferably in Logistics or Planning Management or equivalent
  • 2 to 3 years’ experience within the milling or planning environment
  • SAP experience
  • Customer service and planning experience
  • Ability to liaise with warehousing and transport provider
Responsibilities

Contributes to Functional Strategy into Action:

  • Provides input into Customer Service Strategy, based on a 1 year view of requirements.

Operations Management:

  • Supports Operations in achieving productivity through KPI’s by efficient planning of production and delivery.
  • Manages and ensure competitive rates from external transport contractors and reports any adjustments to GM.
  • Reports weekly on OLT and OFR to GM to ensure we meet customer requirements and operational efficiencies.
  • Liases with Unitrans to ensure maximum fleet utilisation.
  • Coordinates all requirements for export of feed with State Vet and ensures that all documentation is available at the required time.

Customer Services Management:

  • Maintains Customer Service through demand vs capacity planning by – Checking meal, pellet and crumble order and delivery tons are not higher than factory and fleet capacity.
  • Rearranges orders if factory or fleet capacity has been exceeded and alert General Manager.
  • Planning production programme with the Production Team according to customers deliver schedule request to ensure optimal production and efficient service to our customers (longest runs, reduce downtime, OTIF, etc).
  • Communicates constantly with Production and Delivery team on production and delivery plan changes.
  • Builds relationships with customer by providing customer accurate information regarding orders, deliveries and any unforeseen circumstances that might delay order or delivery of feed to ensure customer service.
  • Acts as a link between production and delivery planning to ensure that there is alignment between the two.
  • Follows up with customer to obtain prescriptions from Vets for feed that requires medication.
  • Facilitates the maintenance, renewal and updates of prescriptions required for customers in feed medication.

Administration:

  • Ensures accurate recording and delivery of customer orders (quantity, form, feed code, medication, delivery site etc).
  • Ensures all relevant information is captured into SAP.
  • Compiles GRV’s for when feed is returned and attaches all supporting document to recount the exact occurrence.
  • Receives and reconciles consignment Depot stocks against what has been sold and received.
  • Once orders have been received, transport is arranged to deliver the load.
  • Captures all relevant information into MTECH and ensures that Agric bin stocks are above minimum requirement.
  • Reacts to MTECH variances and uses MTECH as a tool to optimise the production and delivery program.
  • Liaises with Finance to ensure that customer credit control requirements have been met before delivery.
  • Compiles and checks any external transport delivery documentation.
  • Ensures that the correct prices for all customers is captured on SAP prior to loading feed orders.
  • Match previous day customer invoices to open sales orders, check for completeness, proper routing and accuracy.
  • Resolve returned goods discrepancies, process returns memo for management approval and issue to customer.

Contractor Management:

  • Monitors Contractor delivery KPIs by – Planning delivery programme with the Delivery Team according to customers deliver schedule request to ensure optimal delivery and payload.
  • Liaising with Unitrans and external transporters regarding changes to delivery scheduling in order to have the changes executed timeously and according to plan.
  • Notifying transporter of new customers so that a site risk and delivery inspection can be conducted in order to ascertain that conditions on farm are acceptable.
  • Communicates with transporter on a constant basis on turnaround times and delays in order to have an updated picture of deliveries and to make any adjustment and notify the customer.
  • Elevate deviations from standard to General Manager.
  • Investigates and come up with plans to overcome any bottlenecks to delivery of feed to customers.
  • Marks delivery board with next day’s delivery schedule so that it is visible, and everyone is aware of the delivery schedule for the next day to ensure optimal utilization and planning of delivery vehicles.

  • Leads team to ensure strategy and targets are met – through regular communication and utilization of full organizational talent management tool set.
