The aim of the role is to coordinate operations within the Industrial Biotechnology business Unit and to provide support for projects, programmes and initiatives hosted by the business Unit. The support includes monitoring and evaluation, annual reviews and impact analysis programme and project exit. Coordination requires setting up and arranging strategic and operational steering committees, project committees as well as various other multi-stakeholder meetings and workshops. Coordination performance is measured on effectively enabling the Business Unit to achieve relevant corporate KPI’s, execution of key enabling interventions, assisting in multi-stakeholder management and industry engagement as well as general good communication support.

Responsibilities

Business Coordination • Ensure that the unit's coordination is effectively carried out to enable effective project management processes, smooth budgeting processes, timeous knowledge transfer through the correct channels, all of which will ensure a comprehensive and continued support service to internal and external stakeholders; • Ensure that the project/portfolio budgets and expenditure are effectively updated and monitored, so that all people in the unit have updated information with regards to the budget; • Capture, track, monitor and report on Unit’s operational budget; • Assist with ensuring that effective business processes are in place to coordinate activities in the unit; • Collect and collate information to compile relevant reports. Project and Programme Coordination • Receive and perform basic pre-screening evaluation on new applications and issue feedback letters to clients based on the outcome; • Coordinate and schedule meetings with new applicants and portfolio/programme managers; Accompany portfolio/programme managers to on-site meetings to assist with minute taking and filing; • Liaise with the legal and finance departments to ensure that contracts are complete and are properly filed; • Update project dashboards with the statement of progress during the project review phase; • Assist with ensuring that effective business processes are in place to coordinate activities in the unit; Ensure that all unit portfolio/programme information is recorded on the Fund Management System. Financial Management and Reporting • For each project, programme or initiative in the portfolio: Ensure that there is adherence to TIA reporting obligations.; • Assist the business unit in preparing quarterly progress reports (internal) and disbursement documentation (internal) in cases where TIA is providing financial support to a project, programme or initiative. Stakeholder Management • Ensure that internal and external customers are aware of the unit’s offerings; Support the unit in engaging effectively with stakeholders and clients; • Actively manage the stakeholder database and communication with the business unit to support growth in the relationships between TIA and the investees; • Deal effectively with stakeholder enquiries and referrals to the relevant process owners; • Arrange and organise stakeholder meetings, workshops, forums, work groups, etc. as required. Process adherence and improvement • Ensure that information is recorded accurately on TIA’s Fund Management System, and shared internally and externally via a suitable knowledge platform (which is to be developed); • Ensure compliance with all relevant policies, procedures and frameworks; • Contribute to process improvement within the unit.

Requirements

• Science/Engineering Diploma • 3 year technical qualification • Advantage: Project Management Certificate. • 3 years’ work industry experience. • 3 years’ experience in project management and/or administration
